What is the Safe-Copy Workflow Email Feature?
Previously, editing an email in a workflow that was created from a template would also update the original template—which could unintentionally affect other workflows using the same one. Now, every time you insert a template-based email into a workflow, HighLevel creates a safe, independent copy of that email.
This change protects templates from being overwritten and gives users more flexibility when customizing emails at the workflow level.
Key Benefits of the Safe-Copy Email
This highly requested update (with over 200 votes!) helps marketers avoid unintended global changes and supports safer collaboration in shared accounts.
Edits Are Local – Any changes you make affect only the current workflow.
Global Templates Remain Intact – No more overwriting shared email templates.
Optional Syncing – Pull updates from templates only when needed.
Better Team Safety – Multiple users can reuse templates without conflict.
Supports Customization – Create unique variations of email content per workflow step.
How the Safe-Copy Behavior Works
Adding a template-based email to a workflow now generates an isolated version that is independent of the global template.
Steps:
Go to a workflow and add a new Email action.
Choose an existing Email Template.
After insertion, make changes to the email content or subject line—those edits apply only to that workflow step.
The original template remains unchanged.
To Edit the Subject Line:
Click on the email action.
Select the gear icon or "Edit Settings".
Update the subject line from the settings panel.
Managing Global Template Updates
If you need to apply template updates across workflows, you can do so manually from the Templates section.
Steps:
Navigate to Marketing → Emails → Templates.
Open the desired email template.
Click “Sync Changes.”
Choose which email actions (from various workflows or campaigns) should be updated.
Click “Sync Changes” again to apply.
Important Note:
Syncing replaces the entire email content—including subject line and body. Partial updates are not supported.

Frequently Asked Questions
Q: If I edit a workflow email now, does it affect the original template?
No. All changes are now isolated to the workflow step.
Q: Can I still save edits as a new template?
Yes. After customizing an email, you can choose to save it as a new template for reuse.
Q: Will syncing update only specific parts of the email?
No. Syncing replaces the full content—subject, body, and settings.
Q: Are existing emails already placed in workflows affected?
No. The new safe-copy behavior applies only to emails added or edited going forward.
