This guide walks you through HighLevel’s Unified Task Management system, available across Contacts and Opportunities. It’s designed to help users create, edit, and manage tasks through a consistent, efficient interface.

What is Unified Task Management?


Unified Task Management in HighLevel allows you to create and manage tasks from both the Contacts and Opportunities modules using the same interface. The system offers a clean layout, powerful filters, and advanced task options—making it easier to stay on top of your to-dos regardless of where you work inside the platform.


In the Contacts module, you can access the task panel from within a contact’s detailed view to create, view, and manage tasks directly associated with that individual.


In the Opportunities module, clicking into any opportunity record opens a similar task panel, allowing you to manage tasks that are tied to that specific deal or pipeline stage—using the same familiar interface.

How to Use Unified Task Management


Access Contact List


Go to the Contacts section in your left-hand menu and select the Smart Lists tab. This displays a list of all contacts in your subaccount, where you can view basic info like name, phone number, and email. Click any contact to view their full profile and access task tools.




Open a Contact Record


Clicking a contact opens their detailed profile, showing email, phone, preferences, and activity history. To manage tasks, locate and click the Tasks icon at the top right corner of the contact view.




Access the Tasks Panel


Click the Tasks icon in the top-right corner of the contact record to open the task sidebar. Here you’ll see any existing tasks and the + Add Task button to create a new one. This panel is your workspace for all task-related activity linked to the contact.




Enter the Task Title


Start by giving your task a clear and concise title in the Title field. This is a required field and helps identify the task easily when viewed in lists or filters.




Add Task Description


Click “Add description” to include more details about the task. Use this field to provide context, instructions, or important notes that help the assignee understand the objective.




Set Due Date and Time


Use the calendar and time picker to select when the task should be completed. This helps structure deadlines and ensures accountability within your team.




Select a Time for the Task


Click the time dropdown to set when the task is due. You can choose the exact hour and minute to schedule task reminders with precision.




Recurring Tasks


To configure a recurring task, first toggle on the Recurring tasks option. Then use the Repeats every field to define how frequently the task should recur—for example, every X days, weeks, or months. Under Ends on, choose whether the task should repeat indefinitely (Never), stop on a specific date (On), or after a certain number of repetitions (After). You can also enable the option to create a new task even if the previous task is overdue, which ensures that the recurrence continues on schedule regardless of completion status. This setup is ideal for automating repetitive actions and maintaining consistent follow-up.




Assign to a Team Member


Use the Assign to dropdown to designate the task to a specific user. You’ll see a list of all team members associated with the account—select the appropriate person responsible for completing the task. Assigning tasks helps organize accountability and ensures clear ownership of follow-ups.




Save or Add Another Task


Once your task details are complete, click Save to finalize and create the task, or choose Save and Add Another to quickly continue creating additional tasks. This dual-option approach helps streamline bulk task entry without having to reopen the form for every new entry.




Filter Tasks by Team or Status


Use the filter icon to quickly narrow down your task list. You can filter tasks by assignee or task status, helping you focus on what’s relevant for your workflow. This makes it easier to manage workloads and ensure accountability within your team.




Sort Tasks for Better Visibility


Click the sort icon to organize tasks by due date or creation date. You can toggle between ascending or descending order to prioritize what needs attention first. This helps maintain clarity when reviewing large task lists.




Edit or Delete Tasks


Click the three-dot menu next to any task to open options for editing or deleting it. Select “Edit” to modify task details or “Delete” to remove the task permanently from the record.

Q: Is Unified Task Management available to all users?

It must be manually enabled in Labs for each subaccount before it becomes accessible.


Q: Can I return to the previous task system?

Yes, you can disable the toggle in Labs to switch back to the earlier version.

No. All current tasks are fully available in the unified interface with no data loss.
